Purpose of Processing Personal Data (Use of the Register)
The data controller processes customers’ personal data for the following purposes:
– Providing services to customers
– Managing and developing customer relationships and bookings
– Processing payments, monitoring payments, and debt collection
– Development of business operations of the data controller and related services
– Tracking, analyzing, and improving services based on customers’ interests, accommodation preferences, and choices
– Considering customers’ preferences and developing services as well as targeting offers
The data controller does not disclose customers’ personal data to third parties for marketing purposes or for opinion and market research. However, the data controller may send direct marketing messages electronically (e.g., email and text messages, including newsletters, booking confirmations, feedback surveys, etc.).
Data Collected in the Register
The following information is recorded in the personal data register:
For newsletter subscribers:
– Email address, and if provided by the subscriber: first and last name
For other registered individuals:
– Customer number, first name, last name, street address, postal code, city, country, phone number, and email address
– Customer satisfaction information, feedback on services, and other data provided with customer consent, such as online feedback forms, postal feedback, complaints, and customer satisfaction survey results
– Booking information (e.g., past and future bookings)
– Data related to service usage: purchase and cancellation details
– Payment method and payment behavior information (including delayed payments) as well as billing details
– Legal consent or objection to direct marketing, distance selling, and other direct marketing activities (e.g., opting out of the newsletter mailing list)
– Membership in customer benefit programs and necessary details to receive benefits
– Hobbies and interests
– Other information collected with customer consent (e.g., mobility restrictions, disabilities, or medical conditions necessary for service provision)
Personal data is not used for automated decision-making that would have legal or similar effects on customers.
Regular Sources of Data
Personal data is collected with the customer’s consent in the following ways:
– From the customer during the product/service ordering and booking process
– When subscribing to the newsletter
– Through customer satisfaction surveys with customer consent
Disclosure of Personal Data
Personal data from the register may only be disclosed in the following cases: for direct marketing, opinion, and market research purposes within the limits permitted by law (if consent or an assignment requires it).
Data is not transferred outside the EU or European Economic Area.
Register Protection
Physically stored data is kept in locked premises at Lost in Lapland Oy.
Electronically stored data is protected by technical and software-based security measures. Only employees of Lost in Lapland Oy who need the data in their work have access to the information.
Owners, maintenance staff, key providers, and cleaning personnel have access to customer data related to their specific accommodations. Access to the system is granted only with a personal username and password provided by the system administrator.
Newsletter subscriber information is stored in Lost in Lapland’s MailChimp account.
Individuals processing personal data are bound by confidentiality obligations and penalties as stipulated by the Personal Data Act.
Right to Inspect and Correct Data
The registered individual has the right to inspect their personal data stored in the register. To request an inspection, the individual must contact the responsible person listed above. One inspection request per year is free of charge for the registered individual.
The registered individual also has the right to request the correction of incorrect data. The correction request must specify the incorrect information and provide the corrected details. To request a correction, the individual must contact the responsible person listed above.
Other Rights of the Registered Individual
The registered individual has the right to prohibit the use of their personal data for legally defined purposes.
This prohibition can be issued at any time by contacting the responsible person listed above.
